1. Who we are
Cloud Ledger Solutions Ltd is the controller responsible for personal information described in this notice. We are a private limited company registered in England and Wales under company number 15544346. Our registered office is 64 Cartier Close, Old Hall, Warrington, England, WA5 8TD.
Privacy enquiries can be made by calling 01925 988800 or emailing ashley@cloudledgersolutions.co.uk.
2. Information we collect through the website
If you contact us through the enquiry form, email or WhatsApp, we may receive your name, business name, email address, phone number, the service you are interested in, the content of your message and any information you choose to provide.
Please do not use the general website form to send highly confidential information such as passwords, full bank details, UTRs, National Insurance numbers or identity documents.
3. Why we use your information and our lawful basis
We use enquiry information to respond to you, understand what support you are looking for, provide requested information, take steps at your request before entering into a contract, and manage legitimate business communications. Depending on the circumstances, our lawful basis is taking steps before entering into a contract and/or our legitimate interests in responding to enquiries and operating our business.
Submitting an enquiry does not subscribe you to marketing. If we introduce optional marketing sign-ups later, they will be presented separately with an appropriate opt-in or other lawful basis.
4. Who we share information with
We only share personal information where needed to operate the website, communicate with you, comply with law, or obtain professional/technical support. The website is intended to be hosted by Netlify, which provides hosting and form-processing services and may process form submission data on our behalf under its contractual data protection terms. We may also use our email and communications providers to receive and respond to messages.
We do not sell personal information.
5. International processing
Some technology providers may process information outside the United Kingdom. Where this happens, we expect appropriate contractual or other safeguards required by applicable data protection law to be used.
6. How long we keep website enquiries
Website enquiries that do not lead to an engagement are normally kept for up to 12 months after the last meaningful contact, unless we need to retain them longer for a legal reason or to deal with a dispute. If you become a client, relevant records are then handled under our client record-retention, legal, tax, regulatory and anti-money-laundering obligations.
7. Your data protection rights
Depending on the circumstances, you may have rights to ask for access to your personal information, correction, deletion, restriction, portability, or to object to certain processing. Where processing is based on consent, you can withdraw that consent. Some rights do not apply in every situation.
To exercise a right, contact ashley@cloudledgersolutions.co.uk. You also have the right to complain to the UK Information Commissioner’s Office (ICO). You can find current guidance at ico.org.uk.
8. Security
We take reasonable technical and organisational measures to protect information. The live site should be served over HTTPS. No website transmission method can be guaranteed completely secure, so highly sensitive documents should be exchanged through an agreed secure client process rather than this general form.
9. Changes to this notice
We may update this notice when our website, services, providers or legal requirements change. The date at the top shows the latest version.
